# Sharing or using a file in Bpart

Want to share a file from your Bpart platform in a report, an email or on a page of your project? Here's how: use the "copy link" button in the file manager (files). This copies a permanent link that keeps working.

Do you copy and paste the link from your browser's address bar? Then it will stop working after about five minutes: files are always opened through a temporary, secure link.

## Copying the right link

1. In the admin environment, go to **Files** in the menu on the left and find your file in the list.
2. In the **Actions** column, click the **blue button** (the link icon). The link is now on your clipboard.
3. Paste the link wherever you need it.

A correct link always starts with `https://assets.bpart.eu/rails/active_storage/blobs/redirect/` and ends with the file name.

## Using the link

- **In Word or PDF:** select the text, choose *Insert link* and paste the copied link.
- **In an email or news post:** paste the link directly or put it behind a word.
- **On a website:** use the same link as a hyperlink.

When you click the link, the file opens straight away in the browser. Anyone who has the link can view the file. So don't share links to confidential documents.

|| Did you know that links to files are also available in the Bpart URL picker, which you use for e.g. action buttons at the bottom of a page, post, timeline, menu item...? Click the URL picker, go to the third tab (files) and select a file directly.

## Troubleshooting: where it goes wrong

**The link no longer works and you see a message such as** **`AccessDenied`** **or** **`Request has expired`.**

You probably copied the link from your browser's address bar after opening the file. That is a temporary link, which expires after 5 minutes. That's why it works when you test it right away, but not later.

How to recognise a temporary link: it starts with `https://bpart-prod.s3.eu-central-1.amazonaws.com/` and is very long, containing among other things `X-Amz-Expires=300`.

**Solution:** copy the link again using the blue button in **File location** and replace the old link in your document (see above, "Using the link").

| Link | Starts with | Works |
| ---- | ---- | ---- |
| Via the blue button | `https://assets.bpart.eu/...` | Permanently |
| From the address bar | `https://bpart-prod.s3...amazonaws.com/...` | 5 minutes |

**Some links in your document work, others don't.**

Then you copied links in both ways. Check every link in your document and replace the temporary ones.

**A correct link suddenly stops working.**

The file has probably been deleted or replaced by a new upload. A new file gets a new link. Copy it and update your document.
